here are two types of email systems generally to consider. The first system is where your email is received by your internet service provider.

When you open your email programme it will then download those messages from your internet service provider onto your pc. The consequence of this is that emails will not be backed up. Your internet service provider will delete your emails from their system as soon as you open your emails.

This method is the most common and the least expensive. However, this means that all email is stored on your pc and only your pc thus it cannot be shared very easily at all.

Another type of email hosting system is known as ‘Microsoft Exchange Hosting’ where by the emails are never downloaded to your pc but reside at the exchange server. Your email client simply shows you those emails. The main advantage to this is that the emails are often backed up by your email hosting provider and emails become easily accessible from anywhere in the world; providing that an internet connection is detected.

A third benefit to  consider is that with Exchange it is possible to share your inbox with others in your organisation and even grant them the ability to reply to emails on your behalf.
